> **What you'll be able to do:** match the main AI tools to the tasks they suit, and name each one's strengths and weak spots.
>
> *Last checked: July 2026. This field moves fast: models, names, and prices change often. We treat the "which is best right now" details as things to re-check, and keep the durable judgements front and centre.*

Ask five people which AI tool is best and you will get five answers and one argument. That is because the question is wrong. There is no single best tool, the way there is no single best vehicle. A van, a bike, and a sports car are all "best", depending on whether you are moving house, nipping to the shop, or showing off. **The useful question is not "which is best" but "which fits this job, and where do I already work?"**

The good news: for most everyday tasks, several of these tools do a fine job. You are not making a life decision. This lesson gives you a clear read on the five names you will keep hearing, so you can pick with confidence and stop second-guessing.

## The five you will keep hearing

They overlap far more than the marketing suggests. All five can draft an email, summarise a document, and answer a question. The differences show up in **character** (what each is unusually good at), **ecosystem** (what it plugs into), and **where it lives** in your day. Here is each in turn, honestly.

The one that started the stampede, and still the most widely used. **ChatGPT is the great all-rounder**, with the biggest bag of tricks: strong writing and reasoning, image generation, video, voice conversations, and a huge library of add-ons. If you want one familiar tool that does a bit of everything and everyone around you already uses, this is the safe default.

*Strong at:* general-purpose everything, creative and multimodal work (text, images, voice, video), sheer breadth of features.
*Weak spots:* the range can feel sprawling, with a confusing ladder of model names and tiers; like all these tools, it can sound confident when it is wrong.
*Best for:* a versatile daily driver, especially if you want images and voice in the same place.

The tool this Academy is built around, so we will be plain about why, and fair about the rest. **Claude's reputation is for careful, high-quality writing and reasoning**, a natural, human tone, steadiness over long and complex documents, and genuinely strong coding. It also leans hard into doing real work: building documents and small apps you can keep (artifacts), writing code (Claude Code), and working directly with the files on your computer.

*Strong at:* writing that sounds like a person, nuanced reasoning, long documents, coding, and a careful, honest manner that owns up when it is unsure.
*Weak spots:* a smaller add-on ecosystem than ChatGPT or Google; image generation is not its focus.
*Best for:* serious writing, analysis, coding, and any task where tone and judgement matter. It is where this course spends its time.

Google's model, and its trump card is **Google itself**. Gemini plugs into Search, Android, and Workspace (Gmail, Docs, Sheets), handles text, images, and audio together, and can hold an enormous amount of text at once, which is handy for very long documents. Google has also been cutting prices aggressively, so it often gives a lot for the money.

*Strong at:* living inside the Google tools you may already use, very large context (long documents and transcripts), multimodal work, and value.
*Weak spots:* the experience can feel less consistent from task to task; the plan line-up shifts often.
*Best for:* people already in Gmail and Google Docs who want AI right there, and anyone feeding it very long material.

Copilot's pitch is simple and powerful: **it is already at your desk.** It sits inside Microsoft 365, Word, Excel, PowerPoint, Outlook, Teams, and, crucially for companies, it can work with *your organisation's own* emails, files, and chats through Microsoft Graph. So it can draft from last week's Teams thread or summarise the deck in your own drive, which a general chatbot cannot see.

*Strong at:* working inside the Microsoft apps your company likely already runs, grounded in your real business data; multi-step tasks across those apps.
*Weak spots:* the value is tied to living in the Microsoft world; it is usually a paid business add-on (around 30 dollars per user per month) rather than a cheap personal tool.
*Best for:* teams standardised on Microsoft 365 who want AI woven into the tools they already open every morning.

Perplexity is the odd one out, and proud of it. It is **an answer engine, not a chatbot.** It searches the live web and hands back a written answer with **clickable citations on every claim**, so you can check where each fact came from. For research and anything that must be current, that sourcing is a real advantage over a model relying on training it finished months ago.

*Strong at:* research, current events, and fact-finding where you need sources you can verify; quick, sourced answers.
*Weak spots:* less suited to long creative writing or drafting; it is built to find and cite, not to be your all-day writing partner.
*Best for:* looking things up properly, market and background research, and any question where "says who?" matters.

## What about price?

Roughly, and this changes often: the personal paid tier lands around **20 dollars a month** for ChatGPT Plus, Claude Pro, Google AI Pro, and Perplexity Pro, each with a free tier to try first. Higher "Pro" or "Max" tiers (100 to 200 dollars a month) exist for heavy users. Copilot is the exception: it is mainly a **business add-on**, around 30 dollars per user per month, and only pays off if your team lives in Microsoft 365.

The honest takeaway on money: **start free, then pay for the one tool you reach for daily.** For most people one paid subscription is plenty. Do not collect them like stamps.

## How to choose without getting stuck

You do not need the perfect answer today, because the field will look different in six months. Three rules keep you flexible:

**Pick one main tool and get good at it.** Depth beats dabbling. The person who knows one tool well runs rings around the person who has five open tabs and shallow habits in each.

**Keep your work portable.** Your prompts, your context files, your saved examples: keep them somewhere you own, not locked in one app. The real skill you are building, writing a good prompt, moves with you to any tool. That is the whole of Part 3.

**Re-check now and then, not constantly.** Glance at the field a couple of times a year, not every week. Chasing every new model release is a great way to get nothing done. Let the tools fight for the lead; you just want the one that does today's job.

A fair word on our own bias: **this Academy teaches Claude**, because it is unusually good at the writing, reasoning, and real work most professionals need, and it is what Rollo builds with daily. But the thinking you learn here, clear prompts, good context, checking the output, works on any of these tools. Learn the craft with Claude, use it anywhere.

## Try it

Look at what is actually on your desk today. Pick three real tasks, for example: "draft a tricky reply to a client", "find current figures on our market with sources", "summarise this 40-page report". Now match each to the tool from this lesson that fits it best, and say in one line why.

You will notice something useful: the matching is easy once you think in terms of *fit* rather than *best*. That is the whole skill this lesson teaches. Right tool, right job, no agonising.

*(General exercise. Role and industry versions come once accounts are in.)*
